6. What Personal Data Do You Collect?
We may collect some or all of the following personal data (this may vary according to your relationship with us):
• Personal Identifiers – title, name, marital status, postal and email addresses, postcode and contact telephone numbers. We may also collect the names of those who are part of a group booking where necessary, and the age of children to meet your needs (e.g. to provide roll-away bed) and enable us to confirm any restrictions that may apply to a room booking;
• Business-to-Business Information – for corporate customers and corporate business leads and contacts: job title, business address and business email address;
• Transaction Information – payment, reservation and booking details
• Your personal data is obtained from the following third parties: Third parties that we receive personal data from may include:
• Travel agents, booking agents, other agents, tour operators;
• Corporate customers and public information sources such as Companies House;
• Social networks;
• Business Account management operators;
• Government and law enforcement agencies;
• Other serviced apartment/hotel providers and other organisations as part of their contingency plans; We do not collect any personal date via our website unless you contact us, for example, through our Contact button. If you send us an email, we may collect your name, your email address, and any other information which you choose to give us. Cookies: We do not collect any personal data from you from our website using cookies. We do not place cookies on your computer or device, nor do we use any other means of data collection.
7. How Do You Use My Personal Data?
Under the GDPR, we must always have a lawful basis for using personal data. This may be because the data is necessary for our performance of a contract with you, because you have consented to our use of your personal data, or because it is in our legitimate business interests to use it. Your personal data will /maybe be used for the following purposes:
• To fulfil a contract, or take steps linked to a contract. This is relevant when you want to make a reservation with us; and includes:
• making, amending or administering your apartment booking; • providing products and services requested by you;
• verifying your identity;
• processing payments;
• communicating with you;
• providing customer services, including managing complaints; and alerting you by text, email or phone in the event of an unplanned incident, as a result of which we have to make alternative arrangements under our contract (or where we believe it is in your vital interests e.g. emergency maintenance). Any personal data collected via communication through our website will be processed and stored securely, for no longer than is necessary in light of the reason(s) for which it was first collected. We will comply with our obligations and safeguard your rights under the GDPR at all times. As stated above, we do not generally collect any personal data. If you contact us and we obtain your personal details from your email, we may use them to respond to your email. Any and all emails containing your personal data will be deleted no later than after the subject matter of the email has been actioned as outlined above. You have the right to withdraw your consent to us using your personal data at any time, and to request that we delete it. We will not share any of your data with any third parties for any purpose.
8. How Long Will You Keep My Personal Data?
We will not keep your personal data for any longer than is necessary in light of the reason(s) for which it was first collected. Your personal data will, therefore, be kept for the following periods (or, where there is no fixed period, the following factors will be used to determine how long it is kept): The period for which we will retain your personal data depends on the purposes for which we are processing it and where the same personal data is processed for two or more purposes, we will retain it for the longest period. • we will keep a record of any consent you give us during a call for as long as we rely on it as the lawful basis for processing; • until a period of 3 years has elapsed since your last interaction with us; • accident report forms for 3 years (or for accidents relating to a child, for 3 years after the child’s 18th birthday); and • financial information for a period of 7 years, for accounting, business reporting, analysis and audit purposes. In any of the cases mentioned above, we may retain the personal data for longer, if it is required for the purposes of any internal or external investigation or litigation. In these cases, it may be retained until the matter is resolved.
